Bidding for an Event

We specialise in creating and presenting compelling bids and can assist with research, sourcing quotes and hosting site inspections. We’ll provide you with everything you need to make an informed decision including proposed venues, suppliers, attractions and key activities. We can also help you enlist the support of government leaders, strategic partners and local industry suppliers.

What is bidding?

Typically the events in question are those held by local, national and international associations and are more than likely specific to your particular industry or field of expertise. The choice of destination is made by the association’s board and committee members, often several years in advance. Bidding is the process by which destinations put forward proposals and compete for the right to host a particular event.

Putting your hand up to bid for an event may at first seem a bit daunting. We can assist with navigating the process for your bid to ensure you have the best possible chance of winning.

We believe that the best way to get to know the Gold Coast is to see it and experience it the way delegates will. Destination Gold Coast Business Events will host a dedicated familiarisation tour for decision makers to discover first-hand why the Gold Coast is one of the world’s most desired business event destinations. In some case these will be full hosted including meals and return airfares.

Bid Team

In most cases, particularly with large conferences, the local host will be required to develop a strong Bid Team – a group of people who will work with you to host the conference. We can facilitate networking with allied industry groups and organisations to bring together the right team for your conference and support the development of a co-operative, cohesive team.

Lobbying

Lobbying is another critical element to winning a conference bid. We’ll work with you to identify supporters and address opposition to the bid. We would assist you to attend Council Meetings or occasions where lobbying for the Gold Coast conference bid would make sense based on your skills and expertise.

The Bid Document is the corner-stone of your ‘sell’ to bring an event to the Gold Coast. We’ll work with you to create a customised, professionally produced Bid Document that clearly articulates why the Gold Coast is the ideal destination for your event. As part of the document we will provide: Expertly researched industry and organisation information to assist the bid, Personal letters of invitation from the Gold Coast Mayor, Detailed venue proposals, Social Function ideas and Pre and post touring suggestions.

STEP 1: RESEARCH

Our research team will qualify opportunities you identify to ensure that they are viable for the Gold Coast. Once qualified, we will work with you to confirm the national association’s support for the bid. With support secured at a national level, in collaboration with you and the national association, we will confirm the international Association’s interest in receiving the Gold Coast bid.

STEP 2: THE BID TEAM

Local Host Committee is identified and secured. Bid criteria document and information on hosting the event is acquired.

STEP 3: PREPARING THE BID

Local organising committee is formed. Bid strategy, budget, delegate boosting strategies and competitor analysis are prepared. Letters of support obtained from key leaders such as the Prime Minister, Premier, Mayor, Industry Leaders, Airlines, etc. Funding submissions are prepared. Formal bid documents and other marketing material is produced. Site inspections of potential venues and meetings with local suppliers conducted by key decision makers.

STEP 4: THE BID PRESENTATION

Lobbying strategies and activities are undertaken to boost the Gold Coast’s support. The bid document and presentation materials are produced by Destination Gold Coast Business Events in liaison with the Local Organising Committee. The bid is submitted electronically or by hard copy. Local Organising Committee and/or Destination Gold Coast Business Events present the bid to the international decision makers.

STEP 5: BID WIN

Delegate boosting strategies and marketing campaigns are initiated. Delegate survey data may be collected. Promotion of things to see and do and partner programs for delegates during the conference. Promotion of regional and national pre and post tour activities.
