TIGC 2016: Buyer Terms and Conditions of Acceptance

Please read these Terms and Conditions of Acceptance carefully.

Air Travel

Air travel in economy class is sponsored for all buyers and media. Air travel will be booked using the most direct route in and out of the nearest international/national airport points where special airfares have been secured. In some cases this may not be your homeport. Your point of origin and return final destination must be identical. No one-way fares are permitted. Should extreme circumstances arise whereby you must return from a different port, then Gold Coast Business Events will manage this with you.

Once Gold Coast Business Events has booked your air travel, you are not permitted to make any further changes. Changes to names and flight times will only be permitted in exceptional circumstances, where you have made a written application to Gold Coast Business Events. Hosted Buyers should not contact our travel partners (i.e. airlines). All flight booking enquiries should be directed to Gold Coast Business Events.

Gold Coast Business Events takes no responsibility for a Hosted Buyer who may miss organised flights to and from This Is Gold Coast Business Exchange 2016, if the fault is their own. If you miss your flight for any reason that is not the fault of the airline, any additional expense required for you to travel to the event is your own responsibility.

Ground Transfers

Complimentary local airport transfers for Hosted Buyers are provided from Thursday 02 June 2016 to Sunday 05 June 2016 inclusive. Arrival transfers will be provided from Gold Coast and Brisbane airports to your accommodation and departure transfers will be provided from your accommodation to Gold Coast and Brisbane airports. Transfers are not provided to and from any other airport. Transfers from your departure destination (i.e. home or work) to your departure airport are at your own expense.

Accommodation

Complimentary accommodation is provided for all Hosted Buyers on Thursday 2nd and Friday 3rd June. Any other expense incurred at your accommodation (e.g. mini bar, in room dining, laundry, internet and other incidentals) is at your own expense. You will be asked for a credit card as security on check-in. If you elect to stay on for the post familiarisation, complimentary accommodation (room only) for the evening of Saturday 4th June will also be provided.

Meals 

The following meals are hosted for all Buyers and Media:

  • Thursday 02 June 2016: Welcome Reception
  • Friday 03 June 2016: Briefing Breakfast, Morning Tea, Lunch, Afternoon Tea, Gala Dinner
  • Saturday 04 June 2016: Networking Breakfast, Lunch

If you elect to stay on the post familiarisation, all main meals within the itinerary will be provided as part of the program.

Hosted Buyer and Media Commitments

It is compulsory for all Hosted Buyers and media to attend the following:

  • Thursday 02 June 2016: Welcome Reception
  • Friday 03 June 2016: Briefing Breakfast, Business Exchange Exhibition*, Gala Dinner
  • Saturday 04 June 2016: Accommodation Breakfast, Venue Site Inspections, Farewell Lunch

*Business Exchange Exhibition: all Hosted Buyers must schedule and attend a minimum of 20 appointments with product suppliers of your choice during the Business Exchange Exhibition. Additional information and a link to the online appointment scheduling system will be sent to you in May 2016.

If a Hosted Buyer fails to attend any of the scheduled program inclusions including but not limited to, Welcome Reception, Gala Dinner, Business Exchange Exhibition, site inspections or farewell lunch, Gold Coast Business Events may seek reimbursement of associated costs.

It is compulsory that as a Hosted Buyer, you attend all pre- scheduled appointments (PSA’s) with exhibitors that are listed on your PSA schedule. You should be aware that Exhibitors will complete feedback on all Hosted Buyers. Should a situation arise whereby you are unable to honour an appointment, please contact the exhibitor directly to arrange a more convenient appointment time.
All pre- scheduled appointments and attendance at events will be monitored by Gold Coast Business Events and failure to attend may result in your registration being excluded from participation in future events.

Cancellation and Replacement

In the instance where a Hosted Buyer needs to cancel their participation prior to 06 May 2016, they may request that a colleague from their organisation attends as a replacement, on the condition that the replacement meets the application criteria and is accepted by Gold Coast Business Events

Other Notes

Hosted buyers from certain countries may require a Visa to enter Australia. It is the responsibility of each delegate to organise his or her own individual visa and to contact Gold Coast Business Events for a visa application letter if required. For up to date information regarding countries that require a visa to enter Australia, please contact the Australian Consulate in your home country.

Appropriate travel insurance is the responsibility of the individual. When negotiating your travel insurance please ensure time differences are taken into consideration. Travel insurance must be effective from the day of departure up to and including the day you arrive back at your homeport.

Excess baggage, customs fines and the like are the responsibility of the individual. Please consult the Australian Customs Service should you require further information. Gold Coast Business Events do not endorse or approve of export gifts given to attendees by exhibitors. It is the responsibility of each attendee to ensure that such gifts may be both legally removed from Australia and imported into your home country.

Accompanying persons are not included in any component of the official program and are not permitted to attend any of the social functions – this program is strictly for approved buyers only. As this is a professional business networking program, we thank you for complying to this rule.

By participating in This Is Gold Coast 2016, you authorise for Gold Coast Business Events and/or Gold Coast Business Events appointed staff to photograph you at the event and for these images to be used in future marketing and public relations activities.

Liability Clause

In coordinating this event, Gold Coast Business Events has used the information supplied by the operators of the relevant services. Gold Coast Business Events has endeavoured to ensure that the information is correct at the time of publishing; however Gold Coast Business Events accepts no responsibility or liability in respect of such information.

Participation in any activity is solely at the discretion of the individual and Gold Coast Business Events will be exempt from all liability in respect of any event, negligent act, omission, accident, personal injury, death, sickness, irregularity, loss or damage whatsoever, howsoever and by whosoever caused. Gold Coast Business Events accepts no responsibility for any loss, damage, omission, accident, detention, diversion or theft in regard to luggage or belongings whatsoever.
